Job Summary:

Under supervision: coordinates, and administers contracts for designated accounts. Reviews contract and purchase orders as directed by Contracts Manager. Serves as point of liaison with customer, monitors existing contracts for compliance to terms and conditions, and updates Contracts Manager as required.

Responsibilities Include:                      

• Responsible for contract administration and customer support to designated accounts.
• Processes requests for product information and customer RFQ’s to estimating. Follow up with estimating to insure RFQ is submitted on time. Assist in preparing proposals for customers as required or requested. Update Company Pursuit Matrix as required.
• Review customer purchase order to assure compliance with RFQ, pricing, terms, drawing rev levels, exceptions, supplied materials and hardware, tools, ROLT’s. Assures all quality notes are added to sales orders including FAI requirement, material certifications, customer forms, non-conformance information, freight method and accounts numbers, and all other requirements stated on purchase order by customer.
• Enters sales order in to company ERP system and assists the Program Manager in monitoring customer demand.
• Review customer terms and conditions, quality notes, specifications to insure company compliance and proper notation documented on sales orders.
• Assists the Program Manager in change board activities, customer letters and communication and claims and assertions.
• Serves as liaison with contracting principals to ensure compliance with contract specifications and resolution of problems and issues, as they arise; arbitrates claims or complaints as directed by management.
• Participates in the formulation, development, implementation, and revision of contracting policies, procedures, and strategies as appropriate.
• Process customer returns and work with Production, Engineering, Quality Assurance and customer as necessary to resolve discrepancies.
• Follow established departmental policies, procedures, and objectives, continuous quality improvement objectives, safety and environmental control standards.
• Update customer website applications for status of parts, including First Lot tracking, schedule updates, and daily shipment status.
• Maintain effective monitoring from start of project to customer delivery and acceptance to assure meeting of contract commitments and to protect the Company’s position
• Assists with accounts receivable discrepancies including making necessary changes to invoices and resolving payments issues with buyers and customer accounts receivable personnel as necessary.
• Assures accuracy of customer backlog for assigned accounts.
• Monitors customer performance measurement data contesting late deliveries beyond our control including material shortages due to industry shortages, customer furnished tooling receipts and issues, customer receiving errors, rejections, etc.
• Assure quality requirements for customer is flowed down to purchasing, QA, production, engineering for compliance.
• Verify First Article requirements are identified on orders entered into system, which includes lapse in production, drawing changes, tooling changes requiring new/delta FAI’s and notification to the appropriate departments including Purchasing, Quality Assurance, Production, and Engineering.
• Assists in other duties as assigned or required.

Preferred Skills and Abilities:

• Conduct new part review meetings.
• Maintain quote log in MRP system and Pursuit Matrix as required.
• Enter sales orders as required for customer orders, material buys, testing fees and part returns as necessary.
• Set-up and maintain contract/part files.
• Performs miscellaneous job-related duties as assigned.
• Assist in end of month support activities for shipping.
• Supports other contract administrator responsibilities in their absence.
• Attends Product Group/Production meetings as required or requested. MRB meetings, report outs, and any additional meetings where the Contract Representative for the team is requested or required for attendance.

Education and/or Experience:                           

•Bachelor’s degree in Administrative, Business or other related field and/or Five (5) years experience directly related to the duties and responsibilities specified.
• Ability to analyze and solve problems.
• Computer literate.
• Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
