Summary: This position will begin as a contract role with the potential to transition into a permanent position with JH Kelly. The Logistics Administrative Assistant provides vital support to the Logistics Coordinator by handling the administrative and data entry tasks associated with the scheduling and execution of deliveries. This role ensures that purchase orders are accurately entered, logistics vendors are scheduled efficiently, and all documentation related to shipments is completed and properly filed. The ideal candidate is detail-oriented, organized, and capable of working in a fast-paced, logistics-driven environment with minimal supervision.

Salary Range: $20-$25 per hour (DOE), FLSA non-exempt (OT eligible).

Key Responsibilities:

  • Enter and manage purchase orders (POs) accurately in company systems.
  • Assist with scheduling logistics vendors for inbound and outbound loads.
  • Prepare and organize shipping paperwork, including bills of lading, load sheets, and confirmations.
  • Input load data into the dispatch and logistics tracking systems.
  • Maintain detailed records of shipments and vendor communications for compliance and reference.
  • Communicate with drivers, vendors, and internal teams to confirm schedules and resolve issues promptly.
  • Track and follow up on delivery statuses and documentation.
  • Support reporting on shipping activity, costs, and performance.
  • Maintain vendor files, compliance documents, and rate sheets, ensuring accuracy and accessibility.
  • Provide backup support for the Logistics Coordinator, including coverage for scheduling and coordination tasks.
  • Review vendor invoices and match them to supporting documents.
  • Assist in filing freight claims or documenting delivery issues.
  • Generate weekly/monthly logistics reports as requested.
  • Monitor logistics-related email inboxes and respond or escalate items as needed.
  • Assist with onboarding new logistics vendors.
  • Identify and implement process improvements for logistics workflows.
  • Coordinate with warehouse and field teams to confirm successful deliveries.

Relationships:

  • Maintain proactive and positive relationships within the crafts, including shop and field craft personnel.
  • Foster positive relationships with customer representatives, vendors, suppliers, subcontractors, safety, CAD/BIM, accounting, IT, and all project teams.

Experience / Qualifications:

  • High school diploma or GED required
  • Associate degree in Business, Logistics, or related field preferred
  • Minimum of 1–3 years of administrative experience in a warehouse, logistics, or dispatch environment.
  • Preferred: Experience with purchase orders, shipping paperwork, or vendor coordination.
  • Familiarity with logistics or dispatch software (e.g., TMS, Fleet Complete, etc.) is a plus.

Necessary Skills:

  • Strong attention to detail and high accuracy with data entry
  • Solid organizational and time management skills
  • Clear and professional communication skills (verbal and written)
  • Proficiency with Microsoft Office (especially Excel and Outlook)
  • Ability to handle multiple tasks and meet deadlines
  • Comfortable working independently and taking initiative
  • Ability to adapt to changing priorities in a logistics environment

Physical Requirements:

This office-based role requires the ability to sit for extended periods while working at a computer, performing repetitive tasks such as typing and using a mouse. Candidates must have good manual dexterity and hand-eye coordination for handling office equipment and documents weighing up to 25 pounds. Occasional standing, walking, bending, and reaching are necessary, including movement through warehouse spaces as needed.
